This position in a fast-paced property management office requires the ability to assume responsibilities with minimal direction or supervision, to exercise good judgement in decision making, and to maintain effective communications with residents, other staff members and vendors.
This position also requires extraordinary attention to detail, ability to prioritize work, anticipate needs, and manage support activity within the numerous condominium communities being managed. Duties
1. Serves as the front line person for customer service at the property management office.
2. Maintains clear and consistent communication with residents, community Boards, and vendors, often requiring multi-tasking on phone and computer while handling walk-ins.
3. Manages mail, telephone, and electronic communication systems.
4. Supports the efforts of the Property Manager and staff to ensure that customer complaints are resolved in a timely manner; ability to track projects and follow up essential.
5. Performs general office duties such as taking dictation, typing correspondence, filing, faxing, copying, receiving and issuing work orders.
6. Assists Property Manager in preparation of frequent reports and compilation of supporting materials.
7. Performs other duties as assigned.
Qualifications
1. Experience working as an administrative assistant, preferably in a similarly fast-paced environment. The patience of Job and an unfailing sense of humor are plusses.
2. Experience in dealing with the public; ability to multi-task, pleasant demeanor and phone voice, professional appearance and positive attitude.
3. Excellent computer skills, especially Microsoft Office, including Excel and Word.
4. Excellent organizational skills with the ability to prioritize and coordinate varied projects.
5. Excellent verbal English communication skills, including good listening skills, telephone technique, customer relations.
6. Excellent written English communication skills, including use of proper grammar, spelling and punctuation, especially proofreading.
7. Analytic skills and good judgment, particularly in a time crisis.
8. Must possess a valid driver's license.
